To find wholesalers for your ecommerce business, the search is the easy half. The hard half is
proving the supplier is a real authorized distributor, because if you sell on Amazon, their invoice is the
document that decides whether you can list the brand at all.
That is the point most sourcing guides miss. A supplier who sells you genuine product but cannot issue
a compliant invoice is worthless for Amazon wholesale. I’d establish that before discussing price.

What a wholesaler is, and what it is not
Worth separating, because the words get used loosely and the distinction changes your risk.
A brand-authorized distributor buys from the brand and is permitted to resell. This is the only tier
that reliably produces the invoices Amazon accepts.
An unauthorized reseller or liquidator has genuine stock through some other route. Cheaper, and their
paperwork frequently fails an Amazon ungating request.
A dropshipper ships on your behalf and is not a wholesaler. Amazon’s dropshipping policy has specific
requirements, and I’d read it before building anything on this model.
A manufacturer makes the product. Buying direct is private label territory, not wholesale.
In our experience sellers discover this hierarchy only after an ungating rejection, which is an expensive
place to learn it.
Where to look
Six routes, roughly in order of how well they work.
Go to the brand first. Email the brand and ask who distributes in your region. Free, fast, and it
produces authorized names rather than guesses. This is the single most underused route and I’ve found
it works far more often than sellers expect.
Trade shows in your category. You meet decision-makers, see product, and get terms in one afternoon.
Expensive in time, unmatched in signal.
Established wholesale marketplaces and directories. Useful for discovery, weaker for authorization.
Treat a listing as a lead rather than a credential.
Industry trade associations. Most categories have one, and most publish member distributor lists.
Boring and reliable.
Local and regional distributors in your own city. Undramatic, and the relationship quality is usually
better than anything sourced online. When I have gone looking, the best terms came from somebody within
driving distance.
Competitor teardown. Find who supplies a seller already doing well in your category. Public
information more often than people assume.
Where I would not start: the first page of results for “wholesale suppliers”. Those pages are
optimized for sellers looking for suppliers, not for suppliers looking for buyers, and in our experience
the overlap is small.
Vetting, before any money moves
Five checks. The first two take ten minutes and eliminate most of the field.
Verify the business exists as a business. Registration, tax identity, a physical address that is not a
mail drop, a phone somebody answers. I’d do this before the first real conversation.
Ask directly whether they are brand-authorized, and for which brands. Then confirm with the brand. A
supplier who bristles at this has told you the answer.
Request a sample invoice template. Not a quote. An actual invoice format showing their business
details, your business details, the brand, and quantities. If it cannot satisfy Amazon’s ungating
requirements, the supplier cannot help you, and knowing that on day one saves weeks.
Order samples and pay for them. Check authenticity, packaging condition, and whether what arrived
matches the specification. In our experience this is where the surprises live.
Read the communication itself as data. Response time, clarity, whether they answer the question asked.
A supplier who is vague before you are a customer will be vague when there is a problem.
The Amazon paperwork nobody mentions
If Amazon is your channel, this section is the reason the rest matters.
Ungating a gated brand or category needs invoices, and Amazon is specific about what it will accept:
issued by the supplier, dated within a recent window, showing both parties’ details, listing the exact
products and quantities, and typically covering a minimum unit count.
Retail receipts do not work. Neither do quotes, order confirmations, packing slips, or a screenshot of
a purchase.
The supplier has to be willing to be contacted. Amazon sometimes verifies. A supplier who does not
want to be named is a dead end.
Ask for the invoice requirement in writing before you buy. I’d make it a condition of the first
purchase order rather than a hope. When I have seen wholesale plans collapse, the invoice was almost
always the reason.
Check gating before you commit inventory. Attempt to list the ASIN in Seller Central and see what
Amazon asks for. Ten minutes, and it prevents the worst outcome in wholesale, which is stock you own and
cannot sell.
Negotiating without leading on price
The instinct is to ask for a discount. In our experience it is the weakest opening available.
Lead with volume and predictability. A supplier prices for certainty. “We expect to reorder monthly at
this quantity, what does that tier look like” outperforms “can you do better on price”.
Ask what their tiers actually are rather than proposing one. You frequently learn the next break is
closer than you assumed.
Surface the hidden costs early: freight, minimum order quantity, payment terms, restocking or return
policy, and who covers damaged goods. Freight is the one that quietly eats the margin, and I’d get it
quoted rather than estimated.
Ask about payment terms, not just price. Net 30 on a slim margin can be worth more than a discount on
prepayment, because it changes how much inventory you can hold.
Be willing to walk. A supplier who will not put terms in writing is telling you something. In our
experience the ones who resist documentation are the ones who later dispute it.
On what a first order costs: it depends entirely on category, minimum order quantity, and freight, and

product. Get three quotes against the same specification and let the spread inform you.
Making the relationship worth having
Wholesale is a repeat-purchase business, and the terms improve with behavior rather than negotiation.
Pay on time, every time. The cheapest leverage available and the most neglected.
Forecast honestly. A supplier who can plan around you will prioritize you when stock is short, which
is when it matters.
Consolidate rather than scatter. Two suppliers with real volume beat six with none, and I’d resist the
instinct to spread risk in the first year.
Visit if you plausibly can. One afternoon in person changes the relationship more than a year of
email. When I have done it, terms improved without my asking.
Document everything. Purchase orders, agreed terms, quality standards, who pays freight. Not
distrust. Just a record for the day somebody new is answering the phone.
Where wholesale goes wrong
Four failure modes, and the first two are avoidable in an hour.
Buying before checking gating. Inventory you cannot list.
Accepting paperwork that will not ungate. Genuine product, useless invoice.
