Finding a reliable shipping agent on Alibaba means filtering for verified suppliers with trading history, then checking four things the badges do not cover: which Incoterm they quote on, whether they file customs in your name or someone else’s, whether they can deliver to Amazon fulfillment centers to Amazon’s requirements, and what happens when a shipment goes wrong.

The Incoterm question is the one that actually matters, and almost no guide on this topic mentions it. A cheap quote and an expensive quote frequently describe completely different arrangements, with completely different amounts of risk sitting with you. That is where this guide spends most of its length.

We manage sourcing and freight for client brands as an Amazon SPN Verified Partner. What follows is the search process, the evaluation criteria, and the two arrangements I’d be careful about.

Agent, forwarder, or broker

Three roles get used interchangeably on Alibaba and they are not the same thing.

Freight forwarder. Arranges transport, consolidates cargo, books space with carriers, and handles documentation. This is what most listings calling themselves shipping agents actually are.

Customs broker. Licensed to clear goods through customs in the destination country. A forwarder may employ or subcontract one.

Shipping agent. Loosely used, often meaning a local representative arranging port-side logistics.

For an Amazon seller importing from China, you want a forwarder who can arrange customs clearance in your name and deliver to Amazon fulfillment centers correctly. Ask which of these they actually are rather than assuming.

Finding candidates on Alibaba

  1. Search for freight forwarder plus your destination, such as freight forwarder to USA, rather than the generic term.
  2. Filter for Verified Supplier and Trade Assurance in the left panel.
  3. Filter by supplier location to the region your goods ship from, since a forwarder near your factory handles inland transport more cheaply.
  4. Open six to eight profiles rather than contacting the first two. Response quality varies enormously and it is the cheapest signal you will get.

Then evaluate on:

  • Verification status. The Verified Supplier badge means Alibaba assessed the company exists as claimed. It says nothing about service quality.
  • Years trading and recent transaction volume. Both are visible on the profile. Recent activity matters more than age.
  • Reviews, and specifically the negative ones. Read how the company responded, since that predicts how they will handle your problem.
  • Response speed and quality during the quote process. A forwarder who answers a technical question with a technical answer will do the same when a container is stuck.

That last point is the most predictive thing on this list, and I’ve found it beats every badge.

The Incoterms question

This is where quotes stop being comparable. Incoterms define where responsibility, cost, and risk transfer from seller to buyer.

FOB is the standard arrangement for most importers, and it is the one I’d default to. You control the freight leg, you see the real costs, and you know who cleared your goods.

DDP is where the trouble lives, and it deserves a section of its own.

Why DDP quotes deserve scrutiny

DDP is popular because it is simple. One price, goods appear at your warehouse or at Amazon, no paperwork. That simplicity is exactly the problem.

Some DDP operators achieve their prices by under-declaring the value of the goods at customs, or by clearing shipments under someone else’s importer identity and customs bond rather than yours. Both are common enough that you should assume nothing and ask directly.

The consequences land on you rather than on them:

  • You are typically the Importer of Record and legally responsible for the accuracy of the declaration, whatever a forwarder told you
  • Underpaid duty is recoverable from the importer, with penalties, years later
  • You have no clean import records for your own accounting or for any future audit
  • Amazon and your insurers may ask for documentation you cannot produce

What to ask any DDP forwarder, in writing:

  1. Who is named as Importer of Record on the entry?
  2. Whose customs bond is used?
  3. What declared value will appear on the customs entry?
  4. Will you provide the entry summary documentation after clearance?

A forwarder who answers all four plainly is probably fine. One who deflects is telling you something. In our experience the deflection is the answer.

What changed at the border

Worth flagging because it altered the arithmetic for a lot of sellers.

The low-value shipment exemption that allowed many parcels under a threshold to enter the United States free of duty has been substantially curtailed, first for goods from China and subsequently more broadly. Business models built on shipping small parcels direct to customers duty free no longer work the way they did.

Rules in this area have moved repeatedly and continue to. Confirm current duty treatment with a customs broker before modeling landed cost, and treat any figure in an article, including this one, as out of date until you have checked it.

Shipping to Amazon specifically

Additional requirements a general forwarder may not know:

Amazon will refuse non-compliant shipments. Carton labels, shipment IDs from Send to Amazon, box weight and dimension limits, and appointment booking for LTL and FTL deliveries all have to be right.

Your forwarder needs FBA experience. Ask directly whether they deliver to Amazon fulfillment centers regularly and how they handle appointment scheduling. Many do not and will discover the requirements at your expense.

Amazon is not the Importer of Record. Amazon will not act as IOR or consignee for your imports. That has to be you or your designated agent.

Understanding the quote

Sea freight is cheapest per unit and slowest, sensible for large volumes and non-urgent restocks. Air freight costs several times more and takes days rather than weeks, sensible for launches, high-value goods, and stockout emergencies. Most sellers should use both deliberately rather than defaulting to one.

Charges to look for beyond the headline rate: origin handling, documentation, customs clearance, destination terminal handling, delivery, duty and taxes, and demurrage if goods sit at port. A quote that omits half of these is not cheaper, it is incomplete.

Volumetric weight catches people out. Carriers charge on whichever is greater, actual weight or volumetric weight calculated from dimensions. Before you commit

Ship a small first order with a new forwarder. It costs more per unit and it is the cheapest insurance available. I have seen a first full container go wrong in ways a trial shipment would have exposed for a fraction of the cost.

Then keep records: quotes, correspondence, customs entries, and delivery confirmations. When something goes wrong two years later, the paperwork is the whole argument.
